Govt issues instruction for handling VIP references

KOHIMA, JUNE 23 (DIPR): In an effort to give more attention to the references received from VIPs,  the Nagaland Government has issued renewed instructions to all the departments and directorates to strictly follow the laid down procedure for handling the references from the VIPs.

In a memorandum Nagaland Chief Secretary Lalhuma said, a separate receipt register for the VIP reference should be maintained in the offices of the Secretary and Director and this will be reviewed by the Secretary and the Director on every Monday. Once in a month a report indicating the disposal of VIP references should be sent to the Chief Secretary in the prescribed format indicating number of VIP reference received, number of receipt carried over from previous month, number of receipt replied during the month and number of receipt pending, latest by the 7th day of the following month.

Lalhuma said the departments must send the reply to the VIP reference within a week of the receipt of such reference through Chief Secretary and the Minister-in-charge. If the matter requires collection of information or a decision which is likely to take time, a provisional reply should be sent after the approval of the Chief Secretary and the Minister-in-charge. If a letter or matter referred by Raj Bhavan or Chief Minister’s office has originated from another VIP then the reply or interim reply may be sent to these offices before sending it to the originator.

The memorandum added a VIP reference means a reference President’s House, Prime Minister, Raj Bhavan, Chief Minister’s Office, Minister of the Central Government or the State Government, members of Parliament and Members of Legislative Assembly and reference and endorsements made by the Chief Secretary.
